Registration Information and Policies
How to Register
All event registrations must be completed through the official online registration platform. Optica no longer accepts paper or alternative registration forms. While support may be provided via phone or email for troubleshooting purposes, Optica reserves the right to decline registration requests submitted outside the online platform.
Registrants must have an Optica account to register. An Optica account using Single Sign-On (SSO) credentials are required to complete the registration process. Please note that membership status and corresponding registration rates are linked to your Optica account. To ensure accurate pricing, registrants are strongly encouraged to use the correct account associated with their membership. Registrant are not able to log in using their Optica Single Sign-On (SSO) credentials and then initiate a registration with a different email address, as the email address of the registration and the Optica account must be the same; otherwise an error will occur and a registrant will not be able to move forward with registration.
Phone, fax or email communications from any other company or organization offering cut-rate, early bird pricing after the early bird has expired or complimentary, free registration for an Optica event or stating that they are a viable alternative to going through the official registration process, are not affiliated with the meeting in any manner. All registrations are processed through our website with the domain events.optica.org.
Payment Information
All payments must be in USD. There are four (4) payment options available during registration:
- Credit Card (payment is required at the time of registration)
- Check
- ACH/Wire Transfer
- “Invoice Me”
Registrants selecting an offline payment method (check, ACH/Wire Transfer or “Invoice Me”) will have an outstanding balance. Instructions for offline payments are provided on the registration payment page and within the invoice. Please download the PDF invoice by clicking the “Receipt/Invoice” button found in the confirmation email.
Offline payment methods are available until approximately two weeks prior to the meeting. Within two weeks of the meeting and through the conclusion of the meeting, only credit card payments are accepted.
To submit a credit card payment post-registration, click the “Submit Payment” button in the confirmation email. You will be directed to the payment webpage to input the credit card information and submit payment.
- Credit Card — We accept VISA and Mastercard.
- Check — All check payments must be in USD and made payable to Optica.
- ACH/Wire Transfers — Please indicate during your registration which bank will be used. ACH/wire transfers must include the invoice number and the registrant’s full name in the reference line to avoid any lost or unidentified payments.
Registrations are not confirmed until payment is received. Outstanding registration fee balances are due seven (7) days before the event start date. Registrations with outstanding balances will be cancelled before the event start date. Cancelled registrants who wish to attend must register again and pay the registration fee at the time of re-registration. The original registration rate will not be honored for late payments. NO registrant will be able to attend the event without payment in full. All payments must be in USD. Upon receipt of your registration, a confirmation email will be sent to each registrant. Within the confirmation email will be a receipt and invoice button to download a PDF version of your receipt/invoice.
Invoices are auto-generated and, therefore, are based upon the information provided during registration. Optica will not update or edit a registration invoice.
Cancellation and Refund Policy
All cancellations must be completed by the registrant via their online registration. To cancel a registration, click the “Cancel” button found in the registration confirmation email and proceed to confirm cancellation. Cancellations submitted before, or on, 08 October 2026 will receive a refund less a USD 75 processing fee. No refunds will be processed for cancellations submitted after 08 October 2026.
A USD 75 processing fee will be assessed for refunds. Refunds are made to the original form of payment. Please allow three (3) to seven (7) business days for credit card refunds to process, depending on the return bank’s policies. Refunds for check and ACH/wire transfer payments are processed after the event concludes and can take four (4) to six (6) weeks to process.
